Program Coordinator – Future Leaders – Qatar Foundation

JOB PURPOSE / ROLE

To assist in the preparation and execution of the current and future leaders program aimed at targeting mid-career professionals in order to ensure that connection with identified potential participants is established and communication on how QLC can assist them through the enrollment in the current and future leader’s development program is well coordinated.

<b<KEY ACCOUNTABILITIES

Program Design, delivery and monitoring

– Assist in the formulation of the program design by coordinating all necessary activities and tasks internally (within QLC) and externally (with third parties, businesses and service providers).

– Assist the Program Manager in coordinating with assigned professional experts in programme design component.

– Make sure that the delivery of the program is satisfactory and that all participants’ relationship is managed.

Budgeting and Reporting

– Assist the program manager in the development of the future leader’s budget and as requested, monitor financial performance versus the budget so that the business is aware of anticipated costs/revenues and areas of unsatisfactory performance and/or cost reduction are identified.

– Ensure the preparation of timely and accurate reports to keep the program manager informed of progress and status of activities and programs.

Participants Database

– Maintain the participants directory and database and continuously update the same so that program team monitor individual progress and program success

Future Leaders Program Feedback

– Distribute tools that would allow QLC to assess participant’s feedback on the programs they are enrolled in and follow up with participants in order to collect their feedback.

– Provide the Program manager with initial analysis of results and recommend corrective / enhancement actions

Program Logistics

– Act as the focal point in terms of program logistics preparation so that all logistical activities are well coordinated in order to provide participants a pleasant learning experience and increase satisfaction levels

– Coordinate and follow up on professional programs, submission process, monitoring of application and reporting applicant’s professional progress (communication through phone, email, meetings etc.)

Collateral Material

– Oversee the preparation of a variety of publications and materials for the program in conjunction with the events coordinator and communication manager within QLC.

Program Schedules

– Prepare detailed and comprehensive program schedules and communicate all program related information to participants on a regular basis.

Knowledge Transfer / Knowledge Management

– Coordinate with program teams from external service providers in order to ensure transfer of knowledge for the effective achievement of program objectives and build internal capabilities at QLC

– Regularly update QLC Knowledge Management System and accurately reflect up-to-date course developments (time, frequency, location, objectives, etc) on the knowledge portal

Relationship Management & Networking

– Assist the program director in developing and maintaining an extensive network of external contacts, especially within the universities in Qatar in order to ensure that QLC is optimally placed in identifying potential leaders among students and promote awareness of its programs.

– Coordinate relationships with relevant third parties providing leadership development services to QLC (assessment centres, programs design…Etc) to ensure requirements are met and contracts are adhered to.

Continuous Improvement

– Provide inputs and suggestions for the continuous improvement of the program taking into account ‘best practice’, changes in international standards and changes in the environment which demand proactive action plans.
