You will provide an efficient and responsive administrative, organizational, and logistical service to the Vice President of MAQUET Middle East and Africa. Your main tasks will include the following:
Proactively coordinates the V.P.’s calendar, which is comprised of heavy meeting schedule and extensive travelling.
Independently arranges complex travel requirements of the V.P., from visa applications, booking of tickets to arrangements of hotels, car rentals, airport chauffeurs, etc.
Takes management meeting minutes and proactively assures tasks handed by the V.P. to his subordinates are met.
Conducts research for reports, prepares presentations and spreadsheets as per the V.P.’s requirements
Assisting the V.P. achieve his daily objectives.
Coordinates and set ups high level conference calls, management meetings and events for top executives.
In charge of reporting the V.P.’s monthly expenses.
Filter general information, queries, phone calls and invitations to the V.P. by redirecting or taking forward such contact as appropriate.
Devising and maintaining office systems, including data management and filing of corporate and personal correspondence and documents for the V.P.
Responsible for ordering of marketing materials for the office and distributors.
In charge of Arab Health “Staff Management”; will be using Xfair system in booking hotels, transfers and other requirements of the Arab Health attendees. Will act as receptionist and point of contact of all attendees during the exhibition.
Liaise with relevant individuals, external organizations to arrange meetings, prepare agendas and draft minutes
Acts as reliever for the reception and HR if needed.
