Management Assistant, Office Abu Dhabi – help AG Middle East

Help AG is headquartered in Dubai but operates a separate company and office with a team in Abu Dhabi. Although most administrative tasks are centralized in Dubai there is an increasing amount of tasks that need to be done local in Abu Dhabi.

The Management Assistant Abu Dhabi is responsible for the administrative office operations and back office services in the office in Abu Dhabi and will be member of the operations team headquartered in Dubai. The duties and responsibilities include:

• Administrative Sales Support, e.g. preparing RFP / tender documents,

• PRO work, e.g. supplier registration, liaising with government entities

• Issue Order Confirmations/Purchase Orders/Invoices

• Office Management (necessary repairs/alterations etc.)

• Responding to phone and Email enquiries

• Arranging training courses, conferences and events (booking meeting rooms, equipment, ordering training books)

• Accounts receivables follow-up

• Support of HR tasks (documents collection, Security Checks, Certificates

• Logistics coordination for the office Abu Dhabi for any internal and customer shipping from/to Abu Dhabi

• Handling all customs duty tasks if needed

• Support in communication / collection of information for vendors, business-partners, customers

• Creating Reports (either timesheets or customer reports) as required
