Banquet Coordinator – The Regency Hotel

The Banquet Coordinator is responsible for planning and overseeing the banquet events like Luncheons, Meetings, Exhibitions, Conventions and most specially Wedding Receptions. She will be required to be detail oriented, with good organizational, leadership and interpersonal skills. Must have the ability to work long hours and can work under pressure.

Banquet Menu and Ballroom Set-up Coordination

•Should be knowledgeable of banquet menu preparation, banquet set-up and prices. Once the client has made their selections, the banquet coordinator ensures that everything is prepared and presented up to the client’s expectations. This involves communicating with chefs, department heads concern and Banquet service staff, as well as sometimes interviewing, hiring and instructing casual staff.

•Supervises the setting up of facilities, taking care that there are enough tables, chairs and serving areas are available and are arranged for easy access, that menu cards are properly placed, linens are clean and that all serving and eating utensils are available. Ensures as well that banquet servers are well groomed and are in proper uniform.

•Ensures that food and drink will not run low and all areas of the banquet facility remain clean and free of clutter. It is also vital that banquet coordinators be aware of all health department rules and regulations pertaining to food service.

Organizing Facilities

•Conferring with technical, construction and maintenance personnel to make sure microphones are in place and working, all electrical outlets and smoke detectors are in safe and working condition, and that screens, projectors, computers and all other audio and video equipment is set up and properly placed. The banquet coordinator makes sure that podiums for speakers, stages for bands and facilities for DJs are secure and in place and that all lighting and sound systems are tested. She will also direct florists, casual staff and decorators on where to deliver, arrange and store items needed for their specific roles in the event.

Problem Solver

•While the goal of a good Banquet Coordinator is to see events proceed without any complications, situations can arise that are beyond the coordinator’s control. This could include employees calling in sick at the last minute, technical glitches with equipment and bad weather threatening to ruin an outside catering event. In such cases, she must be able to anticipate problems and have back-up plans in place as well as people available who can rectify such situations. She must be a problem solver who can make quick decisions and delegate responsibilities while remaining professional and pleasant in the midst of a stressful situation.

Sales and Marketing

•Besides booking facilities, Banquet Coordinator will be responsible for promoting and selling the hotels conference and banqueting facilities to prospective clients. She must be able to coordinate and assist a company planning a convention or a bride seeking a reception hall. She should be able to thoroughly describe the hotel’s services, outline how the services would be coordinated, advise and make recommendations based on the client’s desires and be able to work within various budget condition

•The candidate will be asked to perform other assigned duties that contribute to the hotel’s mission and objectives.
