Archiving Specialist – Roads and Transport Authority

•Manage digital archiving project: Managing team of 21 staff members on a 20 million images/year project for the EDMS. Responsible for planning, executing, and finalizing projects according to strict deadlines and within budget including acquiring resources and coordinating the efforts of team members and third-party contractors in order to deliver projects according to plan.

•Manage EMS project: Identify stakeholders, analysing the business and technical requirements, Identify contingency plans to manage all issues and risks on the project. Develop and Deliver trainings and workshop after the project implementation

•Manage physical archiving tender: Develop Tender documents and coordinate in the Tendering process to acquire vendor that provides utmost service with minimal cost.

•Manage central archiving project: Develop plans (communication, logistics, risk management), monitor and control through Service Level Agreement (SLA) between the RTA and third-party contractors, for the physical storage 30 Million (60,000 boxes) and retrieval of RTA documents.

•Supervise the applications support and services contracts’ RFP’s from creation to RFP floating, proposals evaluations and contracts award

•Setup departments EMS needs, grant and maintain access rights, provide advanced support and manage the EMS support activities.

•Supervise and improve the EDMS system and EMS systems

•Maintain an overall requirements profile for future actions and plan the EMS, EDMS systems accordingly in coordination with vendors and IT departments.

•Handle the EMS, EDMS, recycling and archiving contracts and vendors’ activities.

•Develop and enhance the electronic archiving processes & procedures in compliance with the international standards and ensure its implementation and evaluate plans prepared by the departments for saving/destroying documents.

•Follow up electronic archiving contracts, implementation mechanisms, terminations of current contracts and addition of new if required.

•Maintain inventory of EMS and EDMS software licenses and track compliance.

•Train the EMS/EDMS users, wherever necessary.

•Manage vendors, contracts and report on SLAs services.

•Provide guidance and advice in the area of record keeping and electronic records management systems.

•Perform other related duties and responsibilities associated with the position.
