The Administrative Assistant works under the direction of assigned faculty members and reports to a faculty member designated by the Associate Dean (Academic). The incumbent will provide a high level of customer service to faculty, staff, students and the general public.
The Administrative Assistant provides administrative/secretarial support to approximately 16 faculty members (as assigned) and has shared responsibility for the overall daily operations of the General Office. In addition, the incumbent may be responsible for assisting the Dean.
Responsibilities include but are not limited to:
•Provides secretarial support to professors and instructors within the Faculty including answering general correspondence and preparing research and/or course materials. This includes typing, proofreading, editing and formatting documents such as course outlines, examination, reports, manuscripts, research proposals and complex publications.
•Acts as recording secretary for committee meetings in which assigned professors have responsibility. This includes organizing meetings, preparing agendas, recording and transcribing minutes, distributing minutes, maintaining confidential records and files. Follow-up on any matters arising from the minutes as required.
•Other general office duties include but are not limited to: photocopying, filing, faxing, arranging courier services, room bookings, distribution, parking pass distribution, etc.
•Provides back-up coverage to the Executive Officers and Dean’s Office as required.
•Ensures back-up support to other administrative office staff during absences or peak periods.
